Your data
Privacy policy
Huddster helps coaches, clubs, and families manage youth football. This notice explains the personal information involved and the choices available to you.
Last updated: 4 October 2026.
Who handles your information
Huddster operates the service. A coach or organisation also decides what player and team information to add and which authorised people can see it. For questions or privacy requests, email support@huddster.com. If your request concerns a player record, tell us the team or organisation so we can work with the right people without disclosing another child’s information.
Information we use
- Account details such as your name, email, role, sign-in method, and account settings.
- Team and player details entered by authorised users, which may include a child’s name, photo, squad number, position, attendance, playing time, and match events.
- Fixtures, training plans, notes, match reports, invitations, and records of changes made in the service.
- Technical information needed to run and secure the app, such as session information, IP address, browser details, error reports, and device tokens when you opt in to push alerts.
Coaches, organisations, and parents provide most of this information. Google may provide basic account details if you choose Google sign-in.
Why we use it
We use account and team information to provide the service you request: managing access, planning training and fixtures, recording matches, and showing authorised families the relevant match centre. We use limited technical data to secure the service, diagnose failures, and prevent misuse. We send invitation emails and, only when enabled, match-start push alerts. We may retain a limited audit history to protect the integrity of match and administrative records.
Depending on the activity, our legal basis may be performance of a contract, legitimate interests in operating a secure service, or a legal obligation. Optional browser notifications rely on your choice to enable them, which you can change in settings and your browser. Clubs and coaches should have an appropriate basis for adding children’s information and explaining that use to families.
AI features
When a coach requests an AI training plan or match report, information from that request and relevant team or match context is sent to Google Gemini to generate a draft. Coaches should review and edit the result. Do not enter sensitive personal information into free-text instructions unless it is necessary. We configure our error monitoring to avoid recording prompts and generated content.
Who may receive information
Information is available to authorised coaches, organisation staff, and linked parents according to their roles. We use service providers for hosting and storage, email delivery, Google sign-in and Gemini, Firebase Cloud Messaging for optional alerts, and Sentry for limited error and performance telemetry. Providers may process information in other countries. Where required, we use appropriate safeguards for international transfers.
Cookies and device storage
Huddster uses authentication cookies to keep you signed in and local or session storage to remember selected teams and live match controls. These support the service you ask to use. Optional push alerts require browser permission and a device registration token. We do not use advertising cookies. If we add optional analytics or marketing storage, we will update this notice and ask for consent where required.
How long we keep information
We keep account and team records while they are needed to provide the service. You can delete your account from settings; some team records may remain if other authorised members still need them, with your account link removed where possible. Some information may be kept longer when needed for security, legal obligations, dispute resolution, or limited backup and audit processes. Contact us about a particular record or retention period.
Your choices and rights
You may ask to access, correct, delete, restrict, or receive a copy of your personal information, and in some cases object to its use. You can turn off match alerts in settings or your browser. Parents can ask the team’s coach to correct a child’s record. Email support@huddster.com for help. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
